Position Summary This position is responsible for assisting and collaborating with the HR Manager to accomplish HR-related tasks. The HR assistant will be involved with nearly all programs and services that relate to the company's human resources division. Duties will include documenting grievances, terminations, absences, performance reports, compensation and benefits information. This includes making all necessary updates to employee profiles, setting up wage garnishments, managing insurance deductions and time off balances, etc. Must be able to answer employee questions and resolve issues with employees pay as needed. Beyond administrative duties, the HR assistant will also be involved in recruiting, hiring, and training new employees. Typical tasks, therefore, include posting job openings, gathering information on new applicants, contacting references, and informing employees of their hiring status.

Essential Functions:

  • Supports human resources processes by administering tests; scheduling appointments; conducting orientation; maintaining records and information
  • Welcomes new employees to the organization by conducting orientation.
  • Provides payroll information by collecting time and attendance records.
  • Verifies the accuracy of pay rates and employee deductions
  • Coordinates pre-employment testing to include background checks, drug screens, and driving record
  • Answering employee questions
  • Processing incoming mail
  • Creating and distributing documents
  • Providing customer service to organization employees
  • Serving as a point of contact with benefit vendors/administrators
  • Maintaining computer system by updating and entering data
  • Participating in recruitment efforts
  • Posting job ads and organizing resumes and job applications
  • Scheduling job interviews and assisting in interview process
  • Collecting employment and tax information
  • Ensuring background and reference checks are completed
  • Preparing new employee files
  • Overseeing the completion of compensation and benefit documentation
  • Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
  • Conducting benefit enrollment process
  • Administering new employment assessments
  • Serving as a point person for all new employee questions
  • Assist the Human Resource Manager with processing unemployment claims
  • Maintain control of records & documents including termination reports and employee requisitions for staffing needs
  • Maintain customer/employee confidence and protect operations by keeping information confidential
  • Prepares and makes general ledger entries as needed; and prepares and distributes appropriate reports
  • Assists with any incoming phone calls and relay messages
  • Assist with event planning
  • Update various spreadsheets and other general administrative duties as needed
  • Perform duties as assigned by Human Resource Manager
  • Schedule appointments as needed
  • Deal with queries from employees
  • General administrative and clerical support
  • Prepare letters and documents
  • Make necessary phone calls and/or send email correspondence for HR Manager
  • Maintain filing systems
  • Photocopy, scan and fax documents
  • Other Duties as assigned


Minimum Qualifications

  • Computer Systems (MS Office)
  • Bilingual (English and Spanish)
  • Minimum 2 years Human Resources Administrative Skills Required
  • High school Diploma, some college preferred
  • Good Planning and organizational skills
  • Well-developed interpersonal and communication skills
  • Professional appearance and manner              
  • Experience using various databases including Payroll Processing Services

 This position reports to the Human Resource Manager.

 Salary: Depending on experience $16.50-$18.50/hour
